Fellowship Bible Church of Winchester, Virginia has developed a 12-step procedure for Care Response Volunteers. These volunteers delivery grocery and medicine to those who are unable to travel to a grocery store or pharmacy. Special thanks go to FBC for developing such thorough procedures and sharing them with the XPastor community.

Covid-19 Care Response Volunteer Procedures – March, 2020

Thank you for being willing to share the love of Christ with those in need! It is the desire of FBC to follow Jesus command in Matthew 22:39 to love our neighbors as we love ourselves. In order for the process to work smoothly, we have set up the following procedure.

  1. Requests for help will come in online and over the phone.
  2. A Coordinator will put the request for grocery or medication delivery out to the volunteer list via email. Please respond right away if this is a delivery you are able to make.
  3. The Coordinator will contact the “Receiver” to make sure they are able to place their order online and find out the time the order will be ready for pick-up. (Some of our older members/attenders may not have online access, and therefore will follow a different procedure requiring the volunteer to shop for the groceries.)
  4. The Coordinator will then communicate with the Volunteer the time and place the order will be ready for pick-up, as well as the name, address and phone # of the Recipient. The Coordinator will also let the Recipient know the Volunteer’s name, and what make, model, color and license plate # of the car that will be delivering to their home.
  5. The Volunteer will go to the store for pick up at the scheduled time. To pick up medications, Volunteer will need to show a driver’s license and have the Recipient’s name and date of birth, and medication to be picked up. The Volunteer will then text or call the Recipient with approximate time of arrival. 
  6. Volunteers are encouraged to wear gloves and have an FBC Nametag for the delivery. The Volunteer should ring the doorbell or knock and then leave the delivery on the front porch, but wait for the Recipient to come to the door.  Please greet the Recipient with care and the love of Christ. 
  7. If the order is heavy, place it just inside the door. Maintain social distancing of 6 feet at the delivery if possible.
  8. The Volunteer is then asked to take a cell phone picture of the Recipient with the delivery. If it is medication, take a photo of recipient holding the medication, with the medication name visible if possible. Text these photos to the Coordinator to show that the Recipient received the order
  9. Please assess the Recipient to determine how well they are doing on a 1-4 scale.
    1.  Very poor, not able to come to the door;
    2. Poor but able to get to the door; 
    3. Feeling better, recovering;
    4. Feeling fine but needs to stay in quarantine.
  10. Text the Coordinator the photo of the delivery and the rating you gave the Recipient, as well as any other feedback that might be important.
  11. If the Recipient asks you to come in for any reason, please decline in order to protect everyone involved.  You can let the Coordinator know if there are other issues that the Recipient has that may need to be addressed.
  12. For Recipients without internet, the Volunteer will be asked to shop for the Recipient, and Recipient will be asked to reimburse Volunteer with cash. The Coordinator may have other options if Recipient does not have cash.
